LEGAL // PERSONAL INFORMATION
PRIVACY POLICY.
A plain-language explanation of what information Mini Civils receives, why it is used and the choices available to you.
The website does not use advertising trackers, analytics cookies, enquiry forms or user accounts. Personal information is mainly received when you choose to contact Mini Civils by telephone, email or WhatsApp.
Who is responsible
Mini Civils, also presented on this site as Site Surveys | Mini Civils, is responsible for deciding how personal information received in connection with its surveying enquiries and services is used.
Privacy enquiries and requests may be sent to info@minicivils.co.za or discussed with Corrie on +27 83 267 0627.
Information collected
Depending on how you contact us and the work discussed, information may include:
- your name, telephone number, email address and organisation;
- site addresses, location information and access arrangements;
- drawings, plans, photographs, coordinates, project details and correspondence that you provide;
- quotation, appointment, invoicing and payment records relating to a project; and
- basic technical server logs, which may include an IP address, browser information, requested page and timestamp.
Please do not send identity documents, financial account details or other sensitive information unless it is genuinely necessary and an appropriate method has been agreed.
Why it is used
Information is used only where reasonably necessary to:
- respond to an enquiry and understand the requested survey;
- prepare a scope, quotation or appointment;
- plan, perform, check and deliver agreed work;
- communicate with clients, contractors and project professionals;
- keep business, tax, project and safety records;
- protect the website and communications against abuse; and
- comply with legal or professional obligations.
The basis for processing may be your consent, steps requested before entering into an agreement, performance of an agreement, a legal obligation or a legitimate business interest that does not override your rights.
Website storage and cookies
The current website does not intentionally set analytics, advertising or personalisation cookies, and the interactive tools do not save game scores or calculator entries to a server. A hosting provider may retain ordinary security and access logs for a limited period.
If tracking or a service that stores non-essential cookies is introduced later, this policy and any required consent mechanism will be updated before that use begins.
Sharing and external services
Information may be shared only as reasonably required with service providers, advisers, project participants, authorities or other parties involved in delivering or administering the requested work. They should receive only the information needed for their role.
When you follow a link to WhatsApp, Facebook, Instagram, TikTok, Microsoft Outlook or another external service, that provider handles information under its own privacy terms. Some providers may process information outside South Africa. Mini Civils does not control those external platforms.
Personal information is not sold.
Security and retention
Reasonable technical and organisational safeguards are used to protect information against loss, misuse, unauthorised access or disclosure. No internet transmission or storage system can be guaranteed completely secure.
Information is kept only for as long as reasonably required for the purpose for which it was collected, an active or anticipated project, legal recordkeeping, dispute resolution, safety, professional accountability or enforcement of an agreement. It is then deleted, destroyed or de-identified where reasonably practicable.
Your choices and rights
Subject to applicable law, you may ask whether personal information about you is held, request access or correction, object to certain processing, withdraw consent where consent is the basis, or request deletion where continued retention is not required.
Enough information may be requested to verify your identity and locate the relevant record. Some information may need to be retained where the law, a contract or a legitimate defence of rights requires it.
If a privacy concern is not resolved, you may approach the Information Regulator (South Africa).
Children and changes
This website and the surveying services are not directed at children. A child should not send personal information without the involvement of a parent or guardian.
This policy may be updated when the website, business practices or law changes. The effective date above will be revised when a material update is published.
